Understanding Invoice2go Integrations Before Connecting Your Accounting Software

Invoice2go includes connections with accounting and automation platforms so businesses can reduce duplicate data entry across their workflow. This independent guide is not affiliated with Invoice2go or BILL.
The most common question is not whether Invoice2go connects with another application. It is what actually synchronizes, when it synchronizes, and which changes still require manual updates after the connection has been established. Those details determine whether an integration saves time or creates reconciliation work later.
What Invoice2go integrations are designed to do
Invoice2go currently offers integrations for services including QuickBooks, Xero, MYOB and Zapier. The integrations directory also lists additional connected applications in categories such as CRM, ecommerce, HR and spreadsheets.
These integrations are intended to reduce repetitive administrative work.
Instead of creating identical customer records in several systems, a connected workflow can keep selected information synchronized. Accounting integrations also allow completed billing activity to move into accounting software without recreating every invoice manually.
The important distinction is that each integration behaves differently.
QuickBooks, Xero and Zapier do not exchange exactly the same information or follow identical synchronization rules.
Use the verified Invoice2go account before connecting anything
Before linking another platform, sign in through the verified Invoice2go account portal.
The initial integration setup for supported accounting software is performed through the Invoice2go web application rather than the mobile app. Invoice2go documents this requirement for QuickBooks and other desktop-based integrations.
Complete the connection from a desktop or laptop first.
Later invoice activity recorded on mobile can still participate in synchronization after the original setup has been completed.
How the QuickBooks integration works
Invoice2go’s QuickBooks integration automatically synchronizes invoices after they have been marked as fully paid.
The synchronization also includes related client information and item information associated with those invoices. Invoice2go explains that invoices created before the integration is connected are not synchronized retroactively. Only invoices marked paid after setup will be transferred automatically.
That timing surprises many users.
Connecting QuickBooks today does not import every invoice created during the previous year.
Review historical records separately if older information must also exist inside QuickBooks.
Match taxes and currencies before connecting
Invoice2go repeatedly emphasizes one requirement before completing the QuickBooks setup.
Tax settings and currencies should match between both systems before the connection is finalized. Otherwise invoices may require manual reconciliation inside QuickBooks.
Check this before clicking Complete.
Changing tax configuration after synchronization has already begun can make troubleshooting considerably more complicated than correcting the settings beforehand.
The same principle also appears in Invoice2go’s published troubleshooting guidance for accounting integrations.
Understand what does not synchronize
Many users expect every later edit to appear automatically in both systems.
Invoice2go documents that this is not how the QuickBooks connection operates.
Once an invoice has synchronized after being marked fully paid, later edits made inside Invoice2go are not automatically reflected inside QuickBooks. Likewise, edits performed directly inside QuickBooks do not update the Invoice2go invoice.
This creates an important workflow decision.
Choose which application becomes the source of truth after synchronization instead of editing the same invoice independently in both platforms.
My first recommendation would be documenting that internal rule before multiple employees begin using both systems.
Importing customers and items
During QuickBooks setup, Invoice2go allows optional synchronization of customer records and saved items.
Businesses can enable client synchronization, item synchronization, or both depending on their workflow. Invoice2go notes that availability depends on the selected subscription level.
Importing these records can reduce duplicate data entry.
It also reduces spelling differences that often appear when customer names are entered manually in multiple applications.
Even so, review imported information after the first synchronization rather than assuming every field transferred exactly as expected.
What Xero users should expect
Invoice2go also supports integration with Xero.
Its Help Center specifically documents troubleshooting guidance for synchronization errors involving currencies, taxes, archived contacts, invoice content and related accounting settings.
When synchronization fails, changing the invoice number rarely fixes the underlying issue.
Instead, compare the accounting configuration between both systems and correct the documented mismatch before repeating the synchronization.
Small configuration differences often explain larger reporting problems later.
What Zapier is designed to automate
Zapier serves a different purpose from QuickBooks or Xero.
Instead of accounting synchronization, Zapier allows Invoice2go to participate in broader business automation involving thousands of other supported applications.
Invoice2go explains that its Zapier integration currently supports importing clients and items into Invoice2go from connected applications.
At present it does not export Invoice2go data into other applications through that integration.
That limitation matters.
Someone expecting every new Invoice2go invoice to automatically appear elsewhere through Zapier may discover that the supported workflow is actually the reverse direction.
Test every automation before relying on it
Invoice2go recommends testing Zapier workflows before enabling them permanently.
Creating a sample client or item allows the business to verify that the mapping behaves as expected before real customer information begins moving automatically.
Perform the test with non-critical data.
Correcting one demonstration record is considerably easier than repairing hundreds of imported customer records after a mapping mistake.
My second recommendation would be documenting exactly which fields originate from which application.
That makes future troubleshooting significantly easier.
Integrations do not replace reconciliation
Synchronization reduces duplicate typing.
It does not eliminate reconciliation.
Businesses should still compare:
- Customer balances
- Paid invoices
- Tax configuration
- Currency settings
- Processing dates
- Accounting reports
Accounting software and invoicing software often answer different operational questions even when they exchange information successfully.
Periodic review remains necessary.
Disconnecting an accounting integration
Invoice2go allows QuickBooks to be disconnected through the account settings on the web application.
After the connection is removed, future invoices marked paid will no longer synchronize automatically with QuickBooks. Existing synchronized records remain in the accounting system unless managed there separately.
Disconnect only after confirming that pending accounting work has been completed.
Otherwise recent transactions may never reach the accounting platform.
Frequently asked questions
Does Invoice2go integrate with QuickBooks?
Yes. Invoice2go supports QuickBooks Online integration for paid invoices together with related client and item information.
Will old invoices synchronize automatically?
No.
Invoice2go says previously created invoices are not synchronized retroactively.
Can I edit an invoice after synchronization?
Yes, but later edits are not automatically reflected in the other application after synchronization has already occurred.
Does Invoice2go work with Zapier?
Yes.
Invoice2go supports Zapier integration for automated workflows involving supported applications.
Can Zapier export Invoice2go invoices into other apps?
Not through the currently documented Invoice2go Zapier workflow.
Invoice2go states that the supported integration presently imports clients and items into Invoice2go rather than exporting Invoice2go data outward.
Why won’t QuickBooks synchronization finish?
Invoice2go recommends confirming matching tax settings and currency before completing the integration. Differences between those settings commonly require manual reconciliation.
Should I connect QuickBooks from my phone?
Invoice2go documents the initial setup through the desktop web application. Mobile activity can synchronize afterward.
Do integrations remove the need for bookkeeping checks?
No.
Synchronization reduces manual entry but does not replace reconciliation or accounting review.
